A cohort is not forty separate travellers. It is one date, one budget, and one person whose reputation moves with it.
Retail travel desks price seats. Visa shops file forms. Neither is built for the moment a semester start or a commissioning window stops being negotiable — which is the only moment our clients care about.

From brief to boarding pass.
Every file runs the same six phases, whether it is twelve engineers to Munich or sixty students to Kazan. You see the same tracker we do, from day one.

Brief & feasibility
Day 0–1Cohort size, destination, intake or meeting date, and profile mix. Within one working day you get a written feasibility note: the realistic filing window, the slot risk, and what the fare will look like.

Week 1We build the checklist once and clone it per applicant. Every file has an owner, a status and a deadline. You watch the same tracker we do.

Seat block held
Week 1–2The fare is locked with a deposit before a single visa is filed. Names come later. If the airline raises the fare, your price does not move.

Filing & appointments
Week 2–8Forms submitted, fees paid, slots taken the moment they open. Applicants are batched by post and by readiness, not by alphabet.

Interview readiness
Before each slotMock interviews scheduled against real appointment dates. Weak profiles get a second sitting. Your counsellors get the notes.

Ticketing & departure

A group block is held on deposit with a passenger count, not a name list. You lock the price months before you know who is flying.
Fare protection
Once the block is confirmed, airline fare increases and fuel surcharge revisions do not pass through to your cohort.
Split PNRs for late visas
A delayed approval should cost one seat, not the batch. We build the booking so stragglers move to a follow-on flight without re-pricing the group.
Student baggage
Negotiated extra-piece allowances on student routes — typically an additional 23 kg piece where the carrier permits it for verified cohorts.
Staggered payment
Deposit, milestone, balance. Aligned with when your own fee collections land, not with the airline default.
Partial cancellation cover
Group contracts are negotiated with a tolerance band, so a small number of refusals or deferrals does not void the block.

An MBBS cohort had invitations from a Kazan university but was filing in the narrowest part of the season. We front-loaded the medical certificates and translations, filed in three batches against invitation dates, and held a 45-seat block via Moscow. All forty-two departed within one week of the intake date.

A SaaS company decided late on a twenty-six-person presence at a Chicago conference. Fourteen travellers qualified for interview waiver; twelve needed appointments. We split the group across two posts and two departure dates, and held one return.

01 What is the minimum group size?
Airline group contracts generally begin at ten passengers travelling on the same routing. Visa work has no minimum — we file single applications for corporate accounts — but our group pricing and dedicated desk start at ten.
02 How far ahead should a study-abroad cohort start?
For a September intake, we want the file open by March and documents closed by May. For the United States specifically, start earlier: appointment availability, not document readiness, is what usually decides the departure date.
03 Do you guarantee a visa?
No, and you should be careful with anyone who does. Visa decisions rest entirely with the issuing consulate. What we control is that the file is complete, correctly categorised, filed in the right window and defended in an interview the applicant has already rehearsed.
04 What happens if a visa is refused after the seats are booked?
Group contracts are negotiated with a tolerance band — typically a small percentage of the block may be released without penalty. Beyond that band we work the airline for a date change rather than a cancellation, and we tell you the exposure in writing before you pay the deposit.
05 Can you work with a cohort that is already partly documented?
Yes. We start with an audit: what exists, what is usable, what has to be redone. You get a written gap list per applicant before any fee is charged.
06 Do you handle travellers from outside our three destinations?
Russia, the United States and Germany are where we run a dedicated desk, and it is where our airline contracts sit. We do file for other destinations for existing accounts, but we will say so plainly if another agency is better placed.
