Study abroad centres & consultancies

Forty students.
One intake date.
Nothing may slip.

You are not selling flexibility. Your students have a semester start, and your reputation moves with whether they make it. We take the filing, the slots, the interviews and the seats so your counsellors can do the part only they can do.

  • Student files 8,900+
  • Centres served 70+
  • Peak season cohort Up to 120

The arithmetic of a cohort

One counsellor can hold four files in their head. At forty, the thing that fails is not effort — it is sequence.

Every centre we work with reached us the same way: a season where the documents were fine, the students were fine, and the dates still slipped — because nobody owned the order in which things had to happen.

What comes off your desk

Six things your counsellors
stop doing in March.

None of this is work that makes your centre distinctive. All of it is work that decides whether your season lands.

01

Document architecture

One checklist per destination and category, cloned per student, with an owner and a deadline on every line. Your counsellors stop chasing and start reviewing.

02

Slot capture

Daily monitoring across posts, students pre-cleared for more than one consulate, and batching by readiness. This is what decides whether a September intake departs in September.

03

Mock interviews

Profile-specific rehearsals against the real appointment date, with written feedback your counsellors can act on and a second sitting for borderline students.

04

Blocked seats

A fare held on deposit before the first visa is filed, so your fee schedule is not hostage to a seasonal price spike.

05

Ancillaries

Insurance, blocked accounts, GIC, forex, SIMs and airport assistance handled on the same file instead of five separate vendors.

06

Departure desk

Batch check-in, baggage briefings and airport assistance for the final seventy-two hours, plus a twenty-four-hour line for the first week after arrival.

How we work together

Three models. You pick
how visible we are.

The same desk, the same team and the same trackers. What changes is whose name is on the communication and who holds the student relationship.

Referral

Lightest

You introduce the student, we take the file end to end and bill the student directly. You receive a referral fee and a read-only view of the tracker.

  • Referral fee per converted file
  • Read-only tracker access
  • We handle student communication

Embedded

For scale

A named team assigned to your centre for a season, with agreed volumes, a shared tracker and a weekly review. Effectively a visa and travel department you do not have to hire.

  • Named team for the season
  • Agreed volume commitments
  • Weekly cohort review

Travel agencies and sub-agents use the white-label model on the same net rate card.

A Fall season, backwards

What January decides
about September.

This is the rhythm of a Fall intake across our three destinations. Winter-semester Germany runs the same shape, shifted six months.

  1. Jan – Feb

    Strategy

Destination mix, expected cohort size, category split. US post strategy fixed. German APS applications opened.

  2. Mar – Apr

    Seats blocked

Group contracts placed before the seasonal fare run-up. Russian invitation requests submitted through partner universities.

  3. May – Jun

    Filing

Documents closed, fees paid, first appointment wave taken. Mock interviews begin against real slot dates.

  4. Jul – Aug

    Interviews

Peak interview season. Second sittings for borderline profiles. Names released against the block as approvals land.

  5. Aug – Sep

    Departure

Ticketing, baggage briefings, departure desk. Follow-on PNRs for late approvals. Arrival support for the first week.

Questions from centres

What directors ask in the first call.

01 Do you contact our students directly?

Only if you want us to. Under the white-label model we never contact your student — everything routes through your counsellors, on your letterhead. Under referral we take the student relationship entirely. You choose at the start and can change it per cohort.

02 What cohort size makes this worth it?

Group air contracts begin at ten. Visa work is worth systematising from about fifteen students in one intake, which is where a counsellor stops being able to hold the whole picture in their head.

03 Can you work alongside our existing documentation team?

Yes, and it is a common arrangement. Your team owns documents, we own slots, filing and interview preparation, and we run a quality read before anything is submitted.

04 What reporting do we get?

A live tracker per cohort — per student, per document, per deadline — plus a weekly written status you can forward to parents or to management without editing it.

05 How do you price for centres?

Net per-applicant rates by category and destination, quoted against expected season volume, with government and consular fees at cost. Air is quoted separately as an all-in per-seat fare.
